A clear contract protects you and your clients. It sets out what you'll do, what they pay, what happens when someone cancels late and who's responsible if something goes wrong. Clients also tend to take a coach with proper paperwork more seriously.

Below is a free personal trainer contract template you can copy and adapt, followed by how to get it signed online so you aren't chasing paper.

Please note that this template is a starting point and isn't legal advice. Laws differ between countries and states, so have a solicitor or lawyer check your final version, especially the liability section.

## What a personal trainer contract should cover

1. Who it's between: you or your business, and the client.
2. The service: what you'll provide, such as in-person sessions, online coaching, programmes or nutrition guidance.
3. Fees and payment: how much, when and how they pay.
4. Cancellations and missed sessions: your notice period and what happens if they miss it.
5. Session packages and expiry: how long prepaid sessions last.
6. Health and readiness: the client confirms they're fit to train and will tell you about any changes.
7. Assumption of risk and liability: the client understands exercise carries some risk.
8. Results: you can't guarantee specific results.
9. Privacy: how you'll handle their personal and health information.
10. Ending the agreement: how either of you can end it.

**Personal Training Agreement**

This agreement is between **\[Your name or business name]** ("the Trainer") and **\[Client's full name]** ("the Client"), starting on **\[date]**.

**1. Services**
The Trainer will provide **\[e.g. two 60-minute in-person sessions a week / an online coaching programme with weekly check-ins]**. The Trainer will design training and, where agreed, nutrition guidance suited to the Client's goals and abilities.

**2. Fees and payment**
The Client will pay **\[amount]** **\[per session / per month / for a package of X sessions]**. Payment is due **\[in advance / on the 1st of each month]** by **\[card / bank transfer]**. Late payments may pause the service until paid.

**3. Cancellations and missed sessions**
The Client must give at least **\[24]** hours' notice to cancel or move a session. Sessions cancelled with less notice, or missed, will be charged in full. The Trainer will give the same notice where possible and will rearrange any session they cancel at no cost.

**4. Packages**
Prepaid sessions must be used within **\[3 months]** of purchase. Unused sessions are **\[non-refundable / refundable at the Trainer's discretion]**.

**5. Health and readiness to exercise**
The Client confirms they have completed the Trainer's health questionnaire truthfully and will tell the Trainer about any injury, illness, pregnancy, medication or change in health. The Client will seek advice from a doctor where the Trainer or the questionnaire recommends it.

**6. Assumption of risk**
The Client understands that exercise carries some risk of injury. The Client agrees to follow the Trainer's instructions, work within their limits and stop and tell the Trainer if they feel pain, dizziness or discomfort. **\[Have this section checked by a lawyer for your country or state.]**

**7. Results**
The Trainer will do their best to help the Client reach their goals, but results depend on many things, including the Client's effort, sleep and nutrition, and cannot be guaranteed.

**8. Privacy**
The Trainer will keep the Client's personal and health information confidential and use it only to provide the service, in line with **\[your privacy notice / applicable data protection law]**.

**9. Ending this agreement**
Either party may end this agreement with **\[30 days']** written notice. Fees already paid for the notice period are **\[non-refundable / refunded pro rata]**.

**10. Agreement**
By signing, the Client confirms they have read, understood and agree to this agreement.

## Online coaching? Add these clauses

If you coach online, add a few lines on:

- Communication: how and when you'll reply, for example within one working day by in-app chat.
- Check-ins: how often the client checks in and what happens if they miss them.
- Your programmes: the client can use the programmes you write for their own training but not share or sell them.
- Time zones: which time zone session times and deadlines use.

## Get your contract signed online with Boost Fitness

Printing, signing, scanning and emailing PDFs is slow, and papers get lost. In Boost Fitness, clients can sign contracts online as part of their onboarding:

1. Add a Contract block to a form. Give it a title, then write your contract or paste it in from Word or Google Docs. Headings, bold and lists come across with it.
2. Set the agreement line, for example "I have read this contract and agree to its terms".
3. Send the form to a new client, or make it a required form they complete before they start.
4. The client reads it, types their full name, ticks the box and signs. Boost records the time, their IP address, their device and a fingerprint of the exact wording.
5. You both get the signed PDF by email, and you can download it again any time from the client's Records tab.

You can add your health questionnaire to the same form, so the client completes everything in one go before their first session.

## Frequently asked questions

### Do personal trainers need a contract?

You don't always need one by law, but a written agreement protects you if there's a dispute about payment, cancellations or an injury. Most insurers expect you to have health screening and clear terms in place.

### Is an online signature legally valid?

In many countries, including the UK, the US and the EU, electronic signatures are generally accepted for this kind of agreement. Check the rules where you work if you're unsure.

### What's the difference between a contract and a waiver?

A contract covers the whole relationship: services, payment and cancellations. A waiver, sometimes called a liability release, deals only with the risk of injury. Many trainers include the risk section inside their contract, as in the template above.

### Should I include a cancellation fee?

Most trainers do. A 24-hour notice period, with the full session fee charged for late cancellations, is common and cuts down on no-shows.

## Key takeaways

- A good contract covers services, payment, cancellations, health, risk, results, privacy and ending the agreement.
- Use the free template above as a starting point and have it checked for your country or state.
- Online coaches should add clauses on communication, check-ins and programme use.
- With Boost Fitness, clients sign online during onboarding and you both get a signed PDF.
